FBA Prep Fees

Amazon & D2C glossary · Harpy Media

FBA prep fees are what Amazon charges when your units arrive at the fulfilment centre not meeting its receiving standards — barcode labels missing or unscannable, items needing polybagging, bubble wrap, taping, or boxing to be safely handled.

What is FBA Prep Fees?

FBA prep fees are what Amazon charges when your units arrive at the fulfilment centre not meeting its receiving standards — barcode labels missing or unscannable, items needing polybagging, bubble wrap, taping, or boxing to be safely handled.

The rules are published and uncompromising because a fulfilment centre is a machine that can’t stop for a box that doesn’t scan. You can prep at the factory (usually far cheaper), prep yourself, or let Amazon do it at premium per-unit rates — plus, for some violations, unplanned-service fees that sting harder than the prep line itself.

The categories and where the money leaks

Labeling: every unit needs the FNSKU barcode, scannable, uncovered, correctly placed — unlabeled units get relabeled at Amazon’s rate. Protective prep: bags, bubble, taping for liquids, sets bundled per policy — each with its own fee schedule. The heavier and more preventable line: unplanned prep or non-compliance charges triggered when pieces arrive loose, wrongly bagged, or missing warning labels — entirely avoidable with a factory prep spec, and frequently triggered when one is missing or unread. The pattern behind most prep fees is upstream discipline: a single missing prep instruction in the supplier’s work order costs per unit on every shipment until someone audits the invoice.

Designing prep out of the fee list

The professional setup: a written factory prep spec per product (label position, bag type, suffocation warnings, bundle configuration, box requirements), a first-article check on each new production run (photograph the prep; verify before the container ships), and a monthly reconciliation of prep fee charges against the spec — charges appearing where the spec says there should be none are either a factory drift or an Amazon mis-scan, both fixable and both recoverable. On the math side: factory prep typically costs a fraction of Amazon’s per-unit rates — the entire category of prep fees exists because origin discipline is cheaper upstream than remediation downstream.

Prep cost per unit = origin prep cost + (Amazon prep fees × % of units non-compliant) + unplanned-service feesDrive the second and third terms to zero with a spec, and the first term is all that’s left.

In practice

A seller’s July invoice shows prep charges on 400 units from a new factory batch — the factory had shifted the label under the box flap. The first-article check existed on paper but skipped on this run. Fixes: labels repositioned, factory retrained with a photo guide, and a standing rule that the prep photo arrives before the container books. August’s invoice: zero prep charges. The audit paid for itself in one month.

⚠️ Watch out. A seller treats prep as the factory’s business and never looks at the inbound invoice lines. Prep fees and unplanned charges accumulate as quiet per-unit taxes on every shipment — and each one maps back to a spec nobody wrote or a check nobody ran.
💡 Harpy tip. Photograph every new production run’s finished carton and unit prep before it ships. One photo per batch catches nearly every future prep fee at the source.

How Harpy Media helps

Origin prep specs and first-article checks are standard vendor-side work in our supply chain programs — fees prevented, not disputed.

FBA Prep Fees FAQ

What are FBA prep fees?

Amazon’s charges for preparing non-compliant units at receiving — labeling, bagging, bubble wrap, taping — or unplanned-service fees for handling violations.

How do I avoid prep fees?

A written factory prep spec per product, first-article photo checks on every production run, and monthly reconciliation of prep charges against the spec.

Is factory prep cheaper than Amazon’s?

Typically, yes — origin prep usually costs a fraction of Amazon’s per-unit prep rates, and prevents unplanned-service charges entirely.
